Cash-In/Cash-Out Report

The Cash-In/Cash-Out report lists and provides details of Cash-Ins and Cash-Outs performed during the specified time period. Results are sorted in descending order by the date and time of the Cash-Out. See below to run the report and view report results. You can also export the report and print it.

If the Cash-In/Cash-Out amounts are out of balance, you can use the Cash-In/Cash-Out Summary view to adjust the Cash-Out amount (see To adjust the Cash-Out amount using the Cash-In/Cash-Out report).

NOTE: The POS view provides a Previous Cash-Out Totals Report that displays information for the last Cash-Out.

NOTE: The data for this report is drawn from cash ins and cash outs done on both the PAYD Pro PlusTM Mobile Solution and the PAYD Pro Plus In-Store Solution.

Running the Cash-In/Cash-Out Report

To run the Cash-In/Cash-Out report:

  1. On the PAYD Administration main screen, click Reports.

  2. On the Reports menu, click Employees, then click Cash-In / Cash-Out.

The Cash-In/ Cash-Out screen appears.

  1. Specify a time period by entering a Month, Day and Year in the Starting date and Ending date textboxes.

NOTE: The default time period is Today.

  1. Click the View button.

Results appear below.

 

To narrow results by lane (multi-lane environment only):

  1. Click the Show Options button on the top of the screen.

  2. Click the Lanes button.

  3. On the Select Lane(s) popup, select the checkboxes for the lanes you want to include in the report and then click OK (all lanes are selected by default).

  4. Click the View button.

 

To narrow results to a time of day:

  1. Click the Start of day drop-down menu and select a starting time for the report results.

  2. Click the End of day drop-down menu and select an end time for the report results.

  3. Click the View button.

NOTE: The default setting for this report is the entire day (within the date range selected). To run the report for the entire day, leave the defaults set to Start of day and End of day. It is also possible to see results for specific times of the day. For example, if you wanted to see results between 9am and noon, you would enter a start time of 09:00 and an end time of 12:00. Then if you wanted to see results from 2pm to 5pm you would repeat steps 1-3 selecting a start time of 14:00 and an end time of 17:00. The time frame works on a 24-hour clock.  

 

To narrow results by store (Multi-Location environment only):

  1. Click the Stores button.

  2. On the Select Store(s) popup, select the checkboxes for the stores you want to include in the report and then click OK (all your stores are selected by default).

  3. Click the View button.

Viewing Cash-In/Cash-Out Report Results

The report lists matching Cash-Ins/Cash-Outs as follows sorted in descending order by date and time of the Cash-Out (Date):

NOTE: The report includes only Cash-Ins that have been cashed out. If the report period includes today and the cash register is currently cashed in, the report will not include that Cash-In.

NOTE: Click the Summary and Details buttons to view a detailed summary and transaction details of the Cash-In/Cash-Out, respectively.

The navigation bar appears at the bottom of each reports screen. Use the bar to navigate through the various pages of report results.

 

 

Viewing a Detailed Summary of a Cash-In/Cash-Out

The summary shows the following:

o       Balance $ amount

o       Date and time of the Cash-In/Cash-Out

o       ID of the employee who did the Cash-In/Cash-Out

o       Cash: Opening balance, Received, Refund/Void, Change, Payout total, Total

o       Cheque: Opening balance, Received, Refund/Void, Total

o       Gift Card: Opening balance, Received, Refund/Void, Total

o       Credit/Debit Cards: Opening balance, Received, Refund/Void, Total

o       Store Credit: Redeemed, Issued, Adjustment

NOTE: To view current cash register totals, access the PAYD Pro Plus In-Store POS view Current Cash Totals report.

 

To adjust the Cash-Out amount using the Cash-In/Cash-Out report:

If there is an Out of Balance Cash-Out status showing on the Cash-In/Cash-Out report results, you can use the Cash-In/Cash-Out Summary view to adjust the Cash-Out amount.

  1. For the Out of Balance Cash-Out on the Cash-In/Cash-Out report results list, click its Summary button under Report ID.

  2. Correct the amount shown in the Actual Amount textbox for the unbalanced tender type(s) (Cash, Cheque, Credit/Debit Cards, or Store Credit).

  3. Click the Save button at the top of the screen.

 

Viewing Transaction Details of a Cash-In/Cash-Out

The details include the following:

o       Sale/Refund/Payout ID - The ID of the transaction (click to view details)

o       Employee ID - The ID of the transaction employee (click to view details)

o       Payment Method - The transaction's payment method (Cash, Cheque, Credit/Debit Cards, or Store Credit).

o       Transaction Type - Purchase, Refund, Void or Payout

o       Date - The date and time of the transaction (mm/dd/yy hh:mm:ss AM/PM)

o       Total - The total $ amount of the transaction
